Sage Product Name Changes

If you are currently using a Sage Software solution, I am sure you have heard some of the buzz surrounding the name changes that are to be in full effect by the end of 2012. Some of the product name changes have already taken place, and some are to be implemented closer to the end of the year.

Keep in mind they are only changing the name of the software solutions, they will still be the same great products you know and love. I’ve provided a list below that details all the name changes that will take place in 2012.

How to produce a new budget worksheet using current posted budget data in Sage Fund Accounting

Have you ever wanted to produce a new budget worksheet using current posted budget data?  

Well, it can be done and we’ll show you how to do it!  This feature is near the end of the new budget worksheet wizard.

1)    Accounting> Activities> Budget Worksheet, Enter a new worksheet name or select New at the bottom.

2)    Select the version for your new copied budget and hit next

 

3)  Select Budget Dollars and New worksheet, and hit next
 

4)    Enter your budget effective dates for which your budget entries will be posted, hit next
 

5)    Comparative data is optional and not required for copy purposes since you will simply be posting the same budget figures, select next

6)    Select the segments that you wish to copy, hit next

 

7)    Select the Account Types from All Available Accounts and Activity Basis = ACT to copy the budget exactly as it currently exists in the posted budget you are copying, and select next

8)    Filters are also optional and not required, and hit next

9)    This next screen is the first step where we elect to copy data. Choose Calculation Basis of Budget, and select the budget version that you are copying. Choose the Calculation Method of Period Matching which is the only method to bring in data that matches exactly as you have posted, next

10) The Historical Range screen is where we decide the date range of the existing budget to copy.

We have now selected the appropriate budget version, segments, and accounts, but this final piece is the ultimate factor of what will be produced into your new worksheet. Click next, and you should be presented with a count of Budget entries totaling what your source budget has posted. Click Finish/Save to produce your worksheet.

10 Tips for Safer Internet Downloads



I would imagine that one of the most common uses of the Internet is to download files.  The problem is, each time you download a file you could be putting your computer at risk – whether you open an email attachment from a friend or co-worker, download a cool screensaver, music or video files.

So what can you do to protect your computer and your company’s network?

Download With Caution  –  Common Sense Goes a Long Way

1.   Only Download From Reputable Sites – Be cautious when downloading from unknown sources and sites containing objectionable material or too-good-to-be-true offers.  Look at the URL bar on the top of the browser window and verify the address displayed coincides with the page you are on.

2.   Beware of Fraudulent Email Messages – Don’t click links or open attachments unless you are confident of the source.  If you encounter pop-up messages or warnings, click the X (close box) instead of OK or Cancel.

3.   Save Files Before Opening – Before you download a file from the Internet, save the file to your hard drive.  Then, when you open it, your antivirus software may check the file and warn you if it detects a harmful virus.

4.   Check the File Type – Verify the file type is what it should be for the file you are trying to download.  For example, if you are downloading music or images it should not be an exe file.

5.   Read the Comments – Check for comments posted on the website before you begin your download.  Other users may have previously completed the download and encountered a virus.  

Strengthen Your Computer’s Defenses

6.   Firewalls – This includes hardware or software that checks information coming from the Internet and turns it away or lets it pass.  Firewalls are built into Windows XP Service Pack 2 and all later versions of the Windows operating system.

7.   Scan – Every time you download something, run a scan on the file.  It only takes a few minutes and if viruses are detected they will be quarantined and/or deleted.  Also, some virus scanning software remains in active memory and will automatically scan any files being downloaded.

8.   Software Updates – Regular updates for Windows and virus scanning programs help protect your computer against new viruses and other security threats.  These programs are updated to deal with new threats long before news of them reaches the general public. 

9.   SPAM Blocking and Anti-Phishing Program – Make sure you buy good spam blocking and anti-phishing programs.  They will save you from many malware (software that is intended to disable computers) infested websites and will block embedded programs from ever getting onto your computer.

10. Increase the Security Protection Built Into Your Web Browser – These programs can stop many threats associated with downloading files before they ever reach your computer.  Nasty tricks may be hidden within web pages and the web browser’s security programs can block many of these.  Be sure you are using the latest version of your web browser.

Remember, viruses are a risk you take when downloading a program, file, or anything else from the Internet.  It is important to take basic steps such as those listed above to help protect your computer.  Remember, no single method will protect you from unsafe downloads as new ways to deceive users are constantly being developed.

John’s Top Sage Fund Accounting Short Cuts

As we kick off the new year, I thought it might be helpful to remind everyone about my favorite Sage Fund Accounting keyboard shortcuts. Not only do they save you time, some even help eliminate data entry errors. You can find the entire list of keyboard shortcuts/hotkeys in the Sage Fund Accounting “Getting Started” guide located in Sage Software’s knowledgebase.

Function Keys
Below is a list of special function keys and other key combinations designed to help quickly enter transactions with the Transaction Entry form:

F7 – Pulls in all the transaction entry line values, such as line entry type, line effective date, and line description from the Entry Defaults form

F6 – Copies the contents of the row immediately above it into the active row

F5 – Copies the contents of the cell immediately above it into the active cell

Default Settings for Document Entry
Did you know that you are able to set defaults for document entry, such as document date, document description, line item account coding and line item effective dates? Just start your session and use the Entry Defaults toolbar button to specify defaults for the current session and then enter your first document.
